Bodyshop Dashboard

A new feature this year is the bodyshop management dashboard. This facility allows the user to view a snap shot of the actvity within a bodyshop, showing all key information in a glance without running management reports. This feature has proved extrememly popular with bodyshop managers as it allows them to manage by exception and view the overall bodyshop within a few clicks of a mouse, pinpointing potential issues that are occuring in real time.

Estimating

The importing of estimates is available from all the leading Estimating systems. Apart from the obvious time saving that not having to enter the estimate on 2 systems gives you, this also allows you to produce 4G formatted estimates for your customers. You will also be able to create your own estimates on the system, either from scratch or from pre defined templates designed by yourself for such things as services or MOT’s for example.

The new rules based importing system allows you to specify how an estimate is imported and allocated to different invoice codes automatically. Thus allowing you to create your own intelligent importing system saving you time and ensuring that all parts of the estimate get invoiced correctly. There is now also the ability to apply phrase based rules to your estimates as they are imported, allowing you to change automatically text that your workshop staff may find confusing.

New estimate matching features allow you to import the estimate at any stage of the process highlighting changes that may have been made (supplmentarys, price changes in Audatex etc) and allowing you to decide which changes to keep or overright at the time of import.

Courtesy / Hire Cars

AutoFlow 4G comes with a fully integrated courtesy car management module which gives you full control over your fleet of vehicles. As well as giving you the capability of having an instant real time view of where your cars are, where they have been and where they are due to go, the system can also warn of such occurences as potential booking conflicts and the insurance running out due to a job overunning. The courtesy car module also comes with a complete suite of reports giving you detailed history and costing information. The AutoFlow scanning module allows you to save documents such as traffic offences, parking offences , driving licences against specific jobs guarding against losing such documents and incurring costs yourselves.

Accounting

AutoFlow is able to export to the leading accounting systems, Sage line 50, Sage line 100, Opera to name but a few. There is also a wide range of financial reports giving you the ability to analyse the true financial status and performance of your business.

Online Services

4G comes with a fully automated online service. At time intervals chosen by yourself and if you wish, your customers will be able to enter their vehicles registration either via your own website or AutoFlow’s and be able to view the progress of their car through the bodyshop. This has proven to reduce amount of incoming calls to your reception from both customers and work providers, whilst at the same time giving your customers a more informed and professional service.

Emails and SMS messaging

AutoFlow 4G will allow you to send automated or manual updates in the form of email and sms messaging to your customers, work providers and engineers.

Workshop Data Capture

AutoFlow 4G workshop stations will capture employee times either through barcode technology or through keyboard entry depending on your preference. This accurate recording of your employees actions will enable 4G to give you an immediate, accurate and upto date view of whats actually happening on the workshop floor. The workshop manager module allows you to view job progress, employee status and parts status all from the one screen, giving the workshop manager the information they need to maximise the capacity of the shopfloor and workforce.

Inline with new standards being brought in by the industry there is now the facility to show images and scanned repair methods on the workshop terminals.

Internal Mail

4G comes with its own internal mail system. This gives staff the opportunity to mail important information to each other regarding the progress of a vehicles repair. All mail can be attached to the job and is recorded and shown in the jobs history. The mail system also provides staff with their own personal to do list where they can set themselves and others, reminders of tasks that need to be achieved.

Job Audits

As each vehicle goes through the repair process all the key events are recorded against that job along with all communications that have been put through the system. This allows for a full investigation into any problems that may have occurred and also allows you to see how the business practices you have put in place are performing on a job by job basis.
